How exhibitors should prepare for MAPIC India

1. 16 weeks before (Jun 15, 2027)
   Confirm your booth space and read the exhibitor manual. Book hotels in Mumbai while rates are still normal.
2. 8 weeks before (Aug 10, 2027)
   Order booth services (power, internet, furniture, cleaning) before the early-rate deadlines, and send graphics to print.
3. 4 weeks before (Sep 7, 2027)
   Ship freight to the advance warehouse if the organizer offers one. Book meetings with the visitors you most want to see. Set up lead capture and train the team on it.
4. One week before (Sep 28, 2027)
   Confirm freight arrived, share the staffing schedule, charge every device, and test your lead capture app with Wi-Fi turned off.

Preparation tips for business and trade shows

• Write a one-line description of what you sell that a visitor from a different industry would understand at a glance.
• Decide in advance which two or three buyer types you want to meet, and brief your team on the questions that qualify them.
• Bring a simple price sheet or quote request form, because visitors at mixed trade fairs often ask for numbers on the spot.

Booth tips for MAPIC India

• Put your product category, not just your logo, at eye level so passers-by can tell in two seconds whether you are relevant.
• Use a short qualifying question ("Are you buying for a store, a distributor or your own company?") to sort visitors quickly.
• Keep a visible sample or demo on the front edge of the booth; mixed audiences decide with their eyes first.

Most of the value of a trade show is created after it closes. Trade fair buyers often compare quotes from several stands, so the supplier who sends a clear written offer first usually stays on the shortlist.

   Send a short personal email to every hot lead. Mention one detail from your conversation so they remember you.
2. By Oct 9, 2027
   Send everything you promised at the booth: prices, samples, demo links. Log each lead in your CRM with its rating and notes.

Chhatrapati Shivaji Maharaj International Airport (BOM) serves Mumbai. Major venues include the Bombay Exhibition Centre in Goregaon and the Jio World Convention Centre in Bandra Kurla Complex. Traffic is heavy, so stay close to your venue if you can. Most visitors need a visa; India offers e-visas for business travel for many nationalities.
